Privacy Statement

We are Pennington Homes Limited, trading as Pennington Properties. We care about your privacy and will only share any personal data that you provide us with to third parties to fulfil our obligations and provide you with our services, where there is a lawful basis to do so within the guidelines of GDPR (General Data Protection Regulations).

You may provide us with information online, though our website, by telephone, by electronic communications or via direct contact with our employees. This information will be stored on our computer system, servers and cloud storage, which have security systems in place to avoid unauthorized access. Your data is also held in our manual records which are securely stored with limited physical access. Any third parties are vetted to ensure that they have security measures in place and handle your data within the guidelines of GDPR. Pennington Properties will not sell, trade or use your data for marketing purposes without gaining prior consent. We will share it with 3rd parties as listed below, if there is lawful basis to do so.

You have the right to amend or access your data, or withdraw your consent at any time where relevant; all requests must be submitted in writing. Pennington Properties will retain your information for a maximum of 7 years after the termination of our services.

Landlords:

Primary information will be used to communicate with you to confirm your identity and to provide services to suit your needs. If you do not wish to make use of our services, your data will be securely destroyed after 6 months. If you decide to continue to let your property with us, we will require further information to carry out our contractual duties and any necessary personal data will be shared with our staff, contractors, your tenant(s), Focus (our software provider), HMRC, Barclays Bank, Tenancy Deposit Scheme, relevant utility companies and local authorities, debt collectors, our insurers, solicitors and external auditors.

Tenants and Guarantors:

Initial information will be taken from you such as your name, contact details and employment status to assess suitability for properties that you are interested in and to arrange viewings. If you do not proceed with a property with us, your data will be securely destroyed after 1 month unless your consent is given for longer.

If you proceed with a tenancy, you will be required to go through referencing with our insurance provider, Let Alliance. Throughout the tenancy any necessary personal data may be shared with our staff, contractors, your landlord(s), Focus (our software provider), Let Alliance, HMRC, Barclays Bank, Tenancy Deposit Scheme, relevant utility companies and local authorities, debt collectors, solicitors and external auditors. If you do not complete referencing for any reason, then your data will be destroyed after 1 month.
